How to Use Auto Reconciliation in Frank

Step-by-step guide to setting up and using Frank's Auto Rec feature to push transactions from your bank feed into QuickBooks or Xero automatically.

Frank's Auto Reconciliation feature (Auto Rec) lets you review and push bank transactions directly into QuickBooks or Xero from within Frank, without touching your accounting software.

Once set up, Frank will automatically categorize and queue transactions for your approval, so your books stay current with minimal manual effort.

Before You Start

Auto Rec works best when Frank already understands how to categorize your transactions. Before turning on Auto Rec, go to Settings → Bookkeeping → Categories and check that Frank has mapped his categories to the correct accounts in your chart of accounts.

He does a lot of this automatically when you first connect your accounting system, but it's worth reviewing. You can watch how to do it here.

The more transactions you've already categorized (taught Frank), the less manual review you'll need to do when running reconciliation.

Step 1 — Open Settings -> Bookkeeping

  1. Open Settings using the left-hand-down menu.

  2. Go to Bookkeeping.

  3. Account Mappings.

Set the default revenue account (from the chart of accounts, not your bank accounts) used when reconciling transactions. A fee account is optional but recommended for accounts with bank or processing fees.

Step 2 — Set Your Default Revenue and Fee Accounts

During setup, you'll also see two additional fields:

Default revenue account: Where should income be logged when Frank can't determine a more specific account? For example, if you receive Stripe or PayPal settlements, set this to the income account you want them to fall under (e.g., Sales Revenue from the Chart of Accounts, not your bank accounts). You can always override it on individual transactions later.

Default fee account: If you process payments through Stripe, Shopify, or Square, merchant fees (typically 2.9–3.5%) are deducted before the money hits your bank. Frank needs to know which expense account to log these fees to (e.g., Merchant Fees or Bank Charges).

Step 3 — Map Your Bank Accounts (First Time Only)

The first time you use Auto Rec, Frank will ask you to map your accounts. This links each bank account in Frank to the matching account in QuickBooks or Xero; for example, your Checking account in Frank maps to your Checking account in QuickBooks.

Work through the list and match each Frank account to its counterpart. At a minimum, map the accounts you want to reconcile. You only need to do this once.

Step 4 — Review and Approve Transactions

Once your accounts are mapped, Frank will find all transactions that need to be reconciled, starting from the last date something was reconciled in your accounting system and working forward to today.

These transactions appear as drafts.

Click on any draft transaction to open it in the side panel. Frank will pre-fill the suggested category and tax treatment based on what he knows. You can:

  • Approve the suggestion as-is.

  • Tweak the category or tax before approving.

  • Set a rule, for example, "every time you see QuickBooks, always categorize it as Software & apps." Frank will automatically apply that rule to all past and future transactions from that vendor.

Setting rules is the fastest way to get Frank working autonomously. Once he knows your preferences, new transactions from the same vendor will be queued and pre-filled without you needing to intervene.

From here, you can Autoqueue all future transactions and/or Auto-push matched transactions.

Step 5 — Push to Your Accounting System

When you're ready to send your reviewed transactions to QuickBooks or Xero:

  1. Click the three-dot menu in the Auto Rec panel.

  2. Select Review Queue.

  3. Review the full list of drafts, then push them across to your accounting system.

You can push in batches; there's no requirement to send everything at once. Many users review and push once a week.

Made a Mistake? Use the Undo Button

If you push a transaction and realize it went to the wrong account, don't worry. Frank has an undo button in the Review Queue. Click it to pull the transaction back, make the correction, and re-push. Nothing is permanent until you're happy with it.

Letting Frank Push Transactions Automatically

Once you've reconciled a transaction for a merchant, Frank gives you two options to reduce future manual work; both are available when saving a rule at the bottom of the reconciliation panel.

Autoqueue all future [Merchant] transactions: Frank automatically queues future transactions from this merchant, ready for your review. No need to hunt them down manually.

Auto-push matched transactions to Xero/QuickBooks: Frank pushes matched transactions straight to your accounting system without you needing to review them first. This is the fully hands-off option. Once Frank knows how a merchant should be coded, he handles the whole process end-to-end; no action is needed from you.

The more rules you set, the less you'll see in your review queue. Many users reach a point where only genuinely new or unusual vendors warrant any attention.

How Frank Shows Your Previous Coding

When you open a transaction during reconciliation, Frank checks whether the merchant was previously coded in your accounting system. This appears as a panel inside the reconciliation screen, showing the account name, date, and amount for recent entries from the same merchant.

It saves you from switching across to Xero or QuickBooks to check. If the history looks right, you can match the same coding without leaving Frank.

  1. Go to the Transactions screen using the left-hand menu.

  2. Go to Merchant, click it.

  3. In the transaction, click Auto Rec.

Summary

Set up Auto Rec once by mapping your accounts and defaults, then use the Review Queue to push approved transactions into your accounting system on your own schedule.

Turn on auto-push for merchants Frank already knows, and he'll handle the end-to-end process, posting directly to your accounting system without any review needed.

The coding history panel helps when you're unsure how to categorize something by showing how that vendor was coded in your accounts previously. The more rules you teach Frank, the more he handles automatically.
